Asset count

An asset count (stock take) checks that every item on your register is physically there, where it is, and what condition it's in. Use your phone to scan QR stickers as you walk the wards.

Who can do this: Superadmin Branch Admin (start & complete) · Department Head Doctor / Nurse Internal biomeds (count)

Start a count

1. Go to Asset Count → Start new asset count.
2. Set the reporting period (start and end dates) and optional notes.
3. Select Start session.

Only one count can run per branch at a time. If one is still open, choose Resume Session or Close Previous Session & Start New.

Count equipment

1. Open the session and select Open scanner. Allow camera access.
2. Scan an item's QR code (or use Look up to search by serial or asset tag).
3. Record:
   • Active zone — where you found it
   • Operational status (below)
   • Update the physical location or cost if needed
   • Status notes — required for anything other than In use or In storage
4. Select Save & scan next.

Found something that isn't on the register? Select Record New Inventory to add it on the spot.

You can also count a single item from its QR page or equipment page.

Operational statuses

Status	Use when
In Use & Fully Functional	Working normally.
In Storage (Backup)	Working, kept as a spare.
Needs attention	Works, but has a problem.
Out of Service (Unsafe)	Not safe to use.
Out for Repair / In Workshop	Being repaired.
Quarantined (Safety/Incident)	Held after an incident.
Obsolete / End of Life	Due for replacement or disposal.
Missing / cannot locate	Not found.

Out of service, out for repair and quarantined items are marked Down. Obsolete items show as Obsolete.

Complete the count

1. Open the session and select Mark complete.
2. EquipNet then:
   • moves each item to the location where it was found (unless it's mid-transfer)
   • marks items that were never scanned as missing
3. Select Generate Excel Report for a workbook with an executive summary, full asset ledger, flagged assets and newly added items.
