Spare parts¶
Keep a stock of spare parts, get low-stock alerts, and fulfil the part requests your engineers raise.
Who can do this: Superadmin Procurement Head Internal Biomed (full) · Internal Biomed (use & add)
Manage stock¶
| Task | How |

| Add a part | Spare Parts → Add Spare Part: name, SKU, quantity, batch, expiry, supplier and low-stock threshold (default 3). |
| Import many | Bulk Upload → Download Template → Upload & Import (direct link). |
| Restock | Open the part → Add stock. |
| Edit many | Bulk Edit. |
| See low stock | Use the Low Stock tab. |
When a part drops to its threshold, procurement and the Head Biomed get an email (and a weekly digest).
Fulfil part requests¶
When an engineer starts a job and a part isn't in stock, EquipNet creates a part request and pauses the job as Delayed (awaiting parts). Procurement is emailed (and sent an SMS).
Who can do this: Procurement Head Internal Biomed
- Open Spare Part Requests (sidebar → Procurement).
- Open a request. For each item, either:
- Link & restock — match it to a part you already stock and add the quantity received, or
- Create & fulfill — add it as a new part.
- When everything is fulfilled, the job automatically resumes In progress and the engineer is notified.

PPM procurement¶
The Head Biomed can send parts needed for upcoming preventive maintenance to procurement. Procurement Officers see these under PPM Procurement in the sidebar (direct link), open each task, buy the parts and select Mark as Reviewed.
