Service requests¶
A service request asks for work on a piece of medical equipment: a repair, preventive maintenance, cleaning, calibration or installation.
Who can do this: Superadmin Branch Admin Department Head Doctor / Nurse Internal biomeds
Raise a request¶
- Go to Service Requests → new request (direct link).
- Choose the device and the type: Repair, Preventive Maintenance, Cleaning, Calibration or Installation.
- Describe the problem, add error codes, a contact phone and attachments (up to 10 files).
- Submit.
Scan the equipment's QR code and use public fault reporting. See QR codes.
Tip
Ticking Equipment is down marks the device as down until the work is complete.
Where the request goes¶
EquipNet routes each request automatically:
| Situation | What happens |
|---|---|
| Raised by a doctor, nurse or Department Head (branch not in lockdown) | Waits for a branch admin to approve it first (below). |
| Lockdown on and an internal engineer is available | Goes straight to your internal biomed team. |
| Lockdown on, no engineer available | EquipNet reviews it. |
| Lockdown off | EquipNet assesses it and sends you a quote. |

Approve staff requests¶
Who can do this: Superadmin Branch Admin
When clinical staff raise a request, you get an email "Action required: approve service request".
- Open To Approve (sidebar → Work).
- Open the request, check it, and select Approve Request.
Track requests¶
Service Requests lists everything. Filter by type, status or Inventory Down only. Your own requests: My Requests.
| Status | Meaning |
|---|---|
| Pending | Waiting for approval, review or assignment. |
| Active | Open for an engineer, or work in progress. |
| Assigned | An engineer has the job. |
| Delayed | Paused — e.g. waiting for spare parts. |
| Complete | Work done and closed. |

After the work¶
- EquipNet engineer: review the job card and complete the request — see Job card sign-off.
- Internal team: sign off the job card — see Job card sign-off.
You can Edit Request or delete it while it hasn't been worked on. Clinical staff can only edit their own.
