Equipment records

Your equipment register is called Inventory in the app. Each record holds the device's details, documents, QR code and full service history.

Who can do this: Superadmin Branch Admin Procurement Department Head Internal biomeds (others can view)

Add equipment

  1. Go to Inventory → Add Inventory (or open Add Inventory directly).
  2. Fill in the form. Required fields are marked. The most useful ones:

    Field Tip
    Name, Category, Manufacturer, Model Pick the category first — it filters the device list.
    Serial number Leave blank if unknown; EquipNet assigns EQUIPNET-<id>.
    Asset tag number Your internal tag, if you use one.
    Department, Location Set these up first.
    Maintenance plan In-house, Under-contract, Under Placement or MEDevice.
    Last service date + Service frequency (months) Drives the PPM schedule.
    Type Medical or Non-medical. Only medical equipment can get service requests.
    Purchase / installation dates, cost, lifespan Used in analytics and the repair-vs-replace calculator.
    Equipment is down Tick if it's currently not working.
  3. Select Save, or Save & Add Next to add another.

Adding many items?

Use Bulk import with a spreadsheet instead.

View and edit

Open any item from Inventory. The detail page shows:

  • Status badge (see below), key details and photo
  • Service history — every request and job card (Download service history as PDF)
  • Documents — user/service manuals, warranties (Upload)
  • Consumables and Accessories (Add Consumable, Add Accessory)
  • QR code (View & download QR code label)
  • Contract details (Verify contract details)

Action buttons: Edit Inventory, Request Service, Transfer, Delete Inventory.

Use Bulk Edit on the Inventory list to change many items at once (e.g. move them to a new department).

Status badges

Badge Meaning
Operational Working, nothing due.
PPM due Preventive maintenance is due.
Overdue PPM is more than 7 days late.
Down Marked down, or recorded as not working / out for repair / quarantined in an asset count.
Obsolete Marked "Obsolete / End of Life" in the last asset count.

A device's Down flag clears automatically when its repair is completed.

Delete

Delete Inventory permanently removes the record and its history. To retire equipment but keep its history, record it as Obsolete / End of Life in an asset count instead.
